Is it good practice to create a prospect client for every quote that is done? can you pull a report in advanced reporting for prospect client files?
Do you know if Dead files are reflected in the retention numbers? I was told it's not accurate if we change to dead?
So if you have a prospect then write the auto and it downloads will the client status automatically change form prospect to active or does it have to be done manually?
Now I'm thinking I archive too much! Is it your practice to dead file vs archive?
I have been archiving alot as well because I thought they are purged after 7 years?
What do must agencies do when a client has a Premium Finance account? We have been creating an “Other” policy to keep this information on record.
Separating Life & Health as a second location...will this work if the client also has personal (or commercial) lines in that profile?

We have a client that flips houses so he buys and sells all the time. When we open his record, there are 25 tabs, some active and most cancelled. Is there a way to clean that up?
Wind Buy Back policies… what Policy Title would you recommend?
Just show Active, from the client tab uncheck the 'Show Inactive Policies' button.

Regarind the Archive issue- I have an "office" set up called Archive that I add client files to. Ex: I have a former client that we will not take back, but I still get claim correspondence from and constantly need to access the file. This keeps my numbers clean and also keeps them out of my reports. Hope this helps. :)
I have been getting rid of old hard files and they said the policy has to be canceled for 5 years in order to purge. If that helps.

If we set up a different office for Commerical at the client level- how will that reflect in Agency Intelligence? Will we see two sets of KPI's based on what drop down/filter we use?

We've talked a lot about how to clean up the database for the benefit of the agency reports. We recently started working with Levitate and it pulls info from specific fields for campaigns. I'm assuming the producer field is the most important field to have accurate. Does anyone know if Levitate also uses the CSR and/or agent fields?
How do you handle a client having multiple CSRs? At our agency, the CSR is determined by the policy type (CL, PL, or L&H). Since CSR is at the client level this creates a problem for us. Any suggestions?

Can you show the steps to take when we rewrite a policy for a customer so it doesn’t mess up our reports? I think you talked about this in an earlier class

Cristi you need to mark the policy that is cancelling with a status of replaced. Then on the rewritten policy, the source needs to be rewrite.

Cristi: We also put the inception and sold dates as 01/01/1980 so it doesn't try to pay commission to the Agent as our agency only pays commission for the 1st year of new business.

I can run a report for client phone numbers but where would I find if the profile is linked to that number? We had TAM prior so we have many numbers w/o profile/name

On the Linking issue - would anyone suggest to link instead of adding additional contacts ?
Check the settings box to mark Contacts as out of date after a year and it'll make you review them all to mark them up-to-date. (Kirsten)
We use the link for Personal client headers to their Business client headers.
As the parent gets older, child usually is handling things....
We use the client tags for that info as well

How do we correct incorrect company or agency codes?
We use the tag to document all the clients that we have discussed the new Michigan laws with. That way we know the clients we still need to speak with. It is very helpful for our agency
