Agency IntelligenceSales & RetentionAdvanced Reports - The Grandfather of reporting
KPI = Key Performance Indicator
What if I can not click on the agency intelligence?
Im sure this is a question that will be asked - but it there a way to see retention based on Application Type?
Hailey, It's likely because your admin. has not given you permission to this report. But that can be changed in Settings> User List > User Permissions.
Hailey - you may not have access to AI reports. Talk to your manager/owner to change your settings and allow you to see reports.
Casey. There is a way to run a retention report in HawkSoft and you can drill down the report by Application Type, Line of Business or Policy Title.
Tiffany - and that will show me %?
It does not calculate the %. It gives you the raw data and you'll have to pull out your calculator to work the % numbers.
For example. It would show you a list of all policies written in 2010 and how many of those policies are still active today. But would not calculate the % for you.
Is “policies lost” the same thing as pulling a cancelled policies report?
It is, but it also captures policies that expired, non-renewed or have any other "lost" policy status too. So it's a bit more robust.
Great tip! The information in these reports are only as good as the data input into your clients and policies. Junk in Junk out.

it’s gotta be clean or it will make you mean!
LOL. Love that Stephen Harrington! I may have to use steal that quote from you.
HawkSoft would also advise you to run a backup before doing any Data Replace just in case. :)
Run that policies lost report weekly. It's a great way to ensure that any clean up needed is done and maintained.
Our downloads come thru as 'insured request' and override the replaced moved in a lot of instances
any ideas to help
We've actually made changes to the program that prevents the download from updating that status from "replaced" to "insured's request" or "non-pay'.If you're experiencing that issue, please do call HawkSoft at 866-884-4680 Opt 3 for assistance.
what is difference between sold and inception? does download impact either one?
Is Actual premium vs annual premium broken up?
Sold = The date that the producer/agent did the work with the client to make the sale.Inception = The date that the customer asked for their policy to be effective for the very first time.
If I want a new business report for April, do I use sold or added ?
But in agency intelligence it only shows the annualized premium on the sidebar. You can’t see the actual premium as a snapshot?
Great question. That's going to be a personal preference.I always wanted to know what was actually sold in the month of April for example. So I would ask for the report based on Sold Date not Inception Date. But you could do both.
@nadinegilles. That is correct. You can't alter the details on the left hand side of the AI or S&R reports. You will have to drill down into the actual report and add more reporting fields to the report to see other premium preferences.
Can you do that with a Mac?
@nadinegillesI just Googled this for you because I didn't know. :)There is not a native snipping tool for Mac like Windows Snipping Tool. However, you can snip on Mac using keyboard shortcuts. To snip on Mac, press Shift + Command + 3.
Might be a silly question but how do you remove those saved reports?
Not a silly question at all.To Remove a Report Layout you can click that Remove button on the layout screen. But to remove a saved report... it's a bit more complicated. We'll get a chance to show you when Michael gets back there.

Click Next to get to the next client on that report.
You can add to your Sales Pipeline sub-statuses in Settings>Customize Lists.
My favorite feature in HawkSoft reporting.
Summary will allow you to drill down a massive report as many times as necessary.
Kelly's right. Start Broad. I am a big fan of running reports with way too much info on them and then using Summary to drill down the report to what's important to me.
You can also add fields to your layout if it is not prompted. Then, sort by your new fields.
Email from a report. Example: Send Holiday Greeting emails to all clients in your database.Enable Batch Emailing to use this feature.
You can also send batch email per client.... so the same client does not get 3 emails (if they have 3 policies) if you send per policy reports.
Yes! Make sure to run the report on a client level NOT a policy level. Great tip!
You can also print from a report. Printing letters from a report for snail mail. Or printing labels for post cards with client names and addresses.

For those clients that don't provide email addresses
Policies In ForceApplication TypeClick on HomeInclude clients name, address, city, state and zip
Upload to Google Maps
Birthday Reports:Used to market to certain age groups.Used to create a personal touch with your valued clients.Used to track which clients maybe have kids turning 16 years old and that may need to be added to the policy as a driver.
The fewer filters you use the less likely you'll accidentally leave something important off of the report.
Use Summary and Report Layouts as the filter after the fact.
Are you tracking new business via the production report or Agency Intelligence?
Is it possible on the birthday list to put the birth dates in date order so I can see the most current birthday in the month first?
Agency Intelligence for me
Suspense ReportRun this report when a staff member is out sick and you want to help that user with their suspense tasks.
Run this report when you take vacation and you want to work your own future suspense list before you leave for vacation so that you don't come back to a mess.
Who is working in HawkSoft? What are they doing?
Which client files are they working on?
what does the time mean in the activity report
Example: I know I talked to that guy last week but I can't remember what his name is.
Exporting Reports from HawkSoft to store for viewing later.Saving them to your own PC in Excel Format.
Take a snap shot of the health of your agency and keep it on file to compare it to next year.
I have someone who runs this the same day of every month and logs key data I want on a spreadsheet
been really cool to have look back...
I love that idea Michelle. Where do they log it? In a Carrier Client file in HawkSoft? In an Agency Client File in HawkSoft?
Got it. On a spreadsheet.
A shared drive, excel sheet then I move key pieces into my agency metrics reports
Thanks for sharing. That's a great tip.
Another vote for why you would use Agency Intelligence.Being able to run a report on client tags.
Good stuff, Thanks guys!!
Can you show the report again on activity report where it breaks it down.
Phone call from insured
email to insured
in AI, policies sold excludes rewrites. How do we see those?
i use client tag to track details on who send us lead
such as a lender/ and loan person
is there a WATO COMBINE POLICIES LOST AND POLICY Added
Thank you. Great job.
